As an Administrative Specialist, you will:
Provide administrative support to the Field Office Director and Divisions to include: preparing correspondence and memorandum for the Field Office Director, Division Chiefs and management signatures; overseeing management’s calendar and scheduling meetings, conferences, and conference calls; receiving visitors and telephone caller’s; logistics; and sorting/distributing incoming and outgoing mail.
Serve as the central point of contact for travel and training (i.e. prepare travel authorization, trip itineraries, maintain travel files, prepare/submit travel voucher for payments, and submit/track training request).
Serve as records/file manager responsible for: preparing annual File Maintenance and Disposition Plan; tracking records in the Document Tracking System (DTS); establishing filing system in order to quickly and efficiently retrieve information; and complying with records management policies and procedures pertaining to dissemination, storage, security, longevity, and preservation of records in a accordance with Federal laws, regulations, and guidance.
Coordinate with the Regional Budget Analyst, as necessary, to prepare a wide variety of documents, reports, briefing papers, charts and graphs.
Prepare, review, and reconcile time and attendance data; enter the data into the QuickTime System; and work with staff to resolve leave and payroll discrepancies.
