    This position is in the Office of the Chief Executive at the Crownpoint Service Unit, Navajo Area Indian Health Service (NAIHS), Crownpoint, NM.  The Service Unit is comprised of Crownpoint Health care Facility, Pueblo Pintado Clinic and Thoreau Clinic all administering a wide range of health services to eligible IHS beneficiaries in eastern portion of the Navajo Nation.  The employee serves as the secretary to the Crownpoint Service Unit Chief Executive Officer (CEO).  The employee serves as a liaison between management and all division directors and staff by performing a variety of secretarial and administrative duties to fulfill the mission and functions for the Service Unit.
    The IHS is required by law to give absolute preference to qualified applicants who meet the Secretary of the Interior's definition of Indian for appointment to vacancies within the IHS in accordance with established IHS policy as outlined in the Indian Health Manual Part 7, Chapter 3.     • Ensures all staff members of the organizational units receive up-to-date guidance on office procedures and administrative requirements such as the preparation of correspondence; the use of and accountability for computers and other information technology or communications equipment; mandatory training requirements; and other day-to-day office business requirements and controls. 
    Answers questions concerning policies and procedures related to support/office services and new projects, requires, and shifts in priorities and commitments. Types in final form a variety of handwritten or draft materials including memoranda, reports, tabulations, letters, minutes of meetings and all other correspondence using various computer software and system applications.  Uses judgment in selecting spacing; arranging material and ensuring proper punctuation, grammar, spelling and capitalization.   Arranges meetings and conferences including space, time, attendees, agenda and background material.  Makes travel and training arrangements for supervisor and staff employees.  Maintains information of itineraries or schedules.  Prepares in final form all documents necessary.   Serves as a time keeper: tracks attendance reports, posts overtime, compensatory time and annual and/or sick leave.  Enters and transmits data.  Initiates requests for approval of holiday and overtime pay for employees scheduled to work.  Updates and corrects errors to time cards.  Provides assistance on issues related to time keeping, performs audits and files Error Notices. Assembles necessary background materials from office files and attaches to correspondence referred.  Draft replies to general inquiries not requiring detailed program knowledge.  Reads outgoing correspondence for procedural and grammatical accuracy, conformance with general policy and accuracy of reference cited.  Compiles statistical data in charts, graphs, tables or other illustration from a variety of administrative reports, such as budget line items, office equipment, leave overtime, workload, training and staffing level. Uses office automation systems and various software packages to accomplish assignments which include text editing; file creation using spreadsheets, databases, graphs and or tables.   Performs miscellaneous duties such as ordering supplies, initiating and tracking documents providing general support services.  Receives visitors and incoming calls, ascertains nature of business and determines appropriate course of action.  Screens calls and visitors.  Answers questions, resolves problems or issues, and otherwise facilitates organizational business.  Personally handles confidential matters as determined by supervisorReviews material requiring supervisor's signature, approval or concurrence, for procedural and grammatical accuracy.Other duties:  The employee may be requested to perform some duties not specifically discuss or described in this position description to support the functions and obligations of the organization. 

    Travel Required

    Occasional travel - To and from satellite clinics, service units, and area office for meetings, trainings, etc.
