Summary

Duties

As an Administrative Assistant with the US Nuclear Regulatory Commission, you will perform a wide range of administrative and secretarial functions in order to support the operations of your office.  Such duties include but are not limited to:

  • Typing, proofreading, and editing a variety of technical, scientific, and other government documents and official correspondence in accordance with standards, guidelines, and agency procedures. 
  • Reviewing incoming correspondence, announcements, and other mail.  Utilizing a variety of software programs (e.g., MS Word, MS Excel, MS Access, Outlook, SharePoint, etc.) in performing assigned work. 
  • Maintaining automated tracking or ticket systems for proper handling of controlled correspondence and action items. 
  • Answering telephone calls from a variety of customers and greeting visitors.  Managing and maintaining supervisors’ calendars and scheduling meetings and events. 
  • Coordinating work assignments and office coverage with other administrative staff to ensure mission accomplishment and to support a collaborative work environment. 
  • Making travel arrangements, preparing travel authorizations and vouchers, within prescribed timeframes. 
  • Preparing electronic time and attendance records.
  • Using the Agency-wide Document Access and Management System (ADAMS) to electronically produce, store, and retrieve official agency records.
  • Providing advice and recommendations to staff members on proper procedures and formats for the preparation of correspondence, reports, staff papers, and other documents.

Qualifications

The ideal candidate must be able to demonstrate the following:  Knowledge of proper grammar, spelling, punctuation, and correspondence procedures; ability to work efficiently in handling multiple assignments; ability to deal tactfully with various levels of personnel; ability to work within a team environment or as a lead administrative assistant; and proficiency in the use of Microsoft Word, Outlook and appointment calendar.  A description of how you possess these skills as well as how you meet the qualifications desired must be addressed in your resume.

In order to qualify for GG-0318-07 you must demonstrate one year of specialized experience, equivalent to the GS-06 level in the Federal service or equivalent responsibility in the private sector. Specialized experience is defined as, at least 3 years experience which demonstrates a minimum of 5 of the 7 following competencies/knowledge to successfully perform as a GG7 Administrative Assistant:

1. Proficiency with the utilization of various computer systems such as data entry and/or managing databases and producing reports.

2. Administrative and clerical duties such mailing, faxing, copying, and filing.

3. Utilization of various computer software such as word processing software (Microsoft Word or similar), Adobe Acrobat, and Microsoft suite (or similar).

4. Providing support to senior staff and collaborating with internal and external contacts.

5. Executing administrative functions i.e., time and attendance, travel, budget, workload, and purchasing/bank card, calendar management, and file management,.

6. Proofreading and formatting documents including grammar, punctuation, and spelling.

7. Ensuring compliance with organizational standards for correspondence and concurrence procedures.

In order to qualify for GG-0318-08 you must demonstrate one year of specialized experience, equivalent to the GS-07 level in the Federal service or equivalent responsibility in the private sector. The duty location of these positions are Rockville, MD. In general, employees are expected to be in the office at a minimum of 4 days per pay period**.  Telework schedules, including full-time telework, are approved, on a case-by-case basis.
