Summary
This position is located in the Food and Beverage Division of the Morale, Welfare and Recreation Department of the Southwest Region. The primary purpose of this position is to schedule, plan, and coordinate of all social functions and special events requiring advance catering reservation for the Consolidated Clubs.
Duties
- Assist the Caterer with the planning/scheduling of all social functions (banquets, parties, receptions, luncheons, etc.) for all catering facilities. Verifies eligibility of the host or sponsor prior to planning and scheduling function. Explains available services, fees, various policies and operating procedures.
- Types party contracts, using established price list of services desired by host/sponsor on offered menu brochure. Obtains proper signatures on contract before distributing two weeks prior. Types and has initialed any changes made to original contract as needed. Provides copy of signed contracts to departments concerned with party activity and documents phone conversation on sales call report. Takes party deposit, noting amount on contract with receipt number. maintains all catering files. Maintains separate party reservation calendar book for each facility and room.
- Answers questions concerning party/catering bills, referring unusual situations to the Catering Manager or Accounting Technician. Reviews payment for contracted event.
- Contacts outside sources such as, florist, bakeries, etc., when requested on the contract by the host/sponsor. may arrangements have been provided and room is ready for guest to arrive.
- Performs incidental related duties as assigned.
Conditions of Employment
- Must meet Federal Employment suitability requirements and successful completion of background investigation. Background Investigations are conducted using fingerprint identification and completion of background inquiry forms.
- Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
- Work schedule is flexible and will vary as required by the needs of the program to include night, weekend, and holiday shifts as well as split days off.
- May have or obtain and maintain the following certification within 90 days of hire: Food Handlers and/or C.A.R.E (Controlling Alcohol Risks Effectively).
- Must have a valid driver’s license.
Qualifications
- Knowledge of proper etiquette, social graces, and military protocol.
- Knowledge of proper methods of food and beverage services.
- Be able to operate office machines such as typewriter, copy machine, and calculator.
- Be able to promote good customer relations.
- Be able to account for monies and catering equipment.
Education
A high school diploma or GED is preferred.
