This vacancy announcement is for a Dual-Status Technician position which requires active membership in the New Jersey National Guard (uniformed military service). Official appointment is not effective until membership within the New Jersey National Guard is confirmed by the gaining Human Resources Office.
THIS IS AN INDEFINITE POSITION: This position lasts for an unknown or unstated length of time and is not Permanent, but may become Permanent.
Duties
As an ADMINISTRATIVE ASSISTANT, GS-0303-7, you will:
- Maintains the appointment schedule for the HRO and the DHRO.
- Schedules appointments and meetings, independently, based upon personal knowledge of their workload and current issues of importance.
- Advises the HRO and the DHRO of scheduled appointments and furnishes information from files or schedules briefings by others in preparation for scheduled meetings.
- Reschedules appointments when it is apparent that they cannot meet previous schedules. Attends meetings when required to maintain notes.
- Prepares required slides for meetings.
- Receives visitors and telephone calls for the HRO.
- Assists in the development of policy letters.
- Coordinates draft policy with other staff directorates prior to submission for final review and approval.
- Maintains personal contact with HRO employees, functional managers (Army and Air), NGB personnel, and State personnel to discuss administrative requirements and services.
- Provides technical advice and guidance and recommends methods and procedures where necessary.
- Advises other administrative personnel of latest HRO directives regarding administrative procedures.
- Reviews incoming correspondence, publications, regulations, and directives.
- Prepares and/or reviews outgoing correspondence from the office of the HRO or subordinate branches for grammar, construction, proper format, attachments, continuity of text, policy and procedural adherence, and compliance with the HRO viewpoint.
- Advises the originator of any discrepancies and provides necessary training. Maintains office files of correspondence, directives, regulations, and other information.
- Maintains security of all keys and maintains appropriate records of keys issued to personnel.
- Performs duties as HRO Publications Officer.
- Coordinates with both Army and Air Force publications sources to accomplish ordering, locating electronic publications, updating, and maintaining a current and complete publications library for the HRO.
- Submits work orders for repairs and maintenance on HRO office equipment and facilities.
- Performs other duties as assigned.

Qualifications
General Experience:
Administrative or clerical experience, education, or training which demonstrates the candidate's ability to perform the duties of the position. Experience using computer and automation systems.
Specialized Experience:
Must have at least 12 months experience in the interpretation and application of regulations, procedures or laws. Experience that provided a working knowledge of administrative functions. Experience demonstrating the ability to advise lower graded employees. Experience working independently and setting priorities with very little supervisory control.
