This position is located within the Food & Beverage, Section, Business Operations Branch, Marine Corps Community Services (MCCS), Marine Corps Base (MCB) Camp Butler. Incumbent reports directly to the Director, Food & Beverage(F&B).
The primary purpose of this position is to provide administrative and clerical support to the F&B Office.
DUTIES AND RESPONSIBILITIES:
Provides administrative and clerical support to the F&B Office and processes requests received from F&B clubs/facilities. Operates a personal computer (PC) and peripheral equipment to produce a variety of correspondence, spreadsheets, presentations, charts, reports, and graphs, using a variety of software programs. Uses Naval Correspondence standards for applicable documents (e.g., Decision Papers, After Actions, etc.).
Screens incoming telephone calls, determining those which can be answered and those, which must be referred to other personnel/management. May make arrangements for meetings, including space and time, and notifies those who are involved of the location and topics to be discussed. Assists with maintaining the schedule of meetings held in the F&B conference room. Assists in taking minutes and completing after action/summary reports of meetings. Assists in establishing and maintaining subject matter files and records.
Edits correspondence for correct spelling, grammar, clarity of expression, accuracy, consistency of facts, and appropriate tone; often contributes ideas and knowledge to the creation of uniformed office correspondence.
May work with/assist the Deputy Director F&B concerning menu management and design. Assists with ideas and the creation of facility and event menus using professional graphic design. May assist with updating menus when there are additions of new items, modifications of items, or price changes are required. Assists with the development of print and electronic collateral, print and on-line advertisements via the MCCS website and/or SharePoint pages, direct marketing, product announcements, press releases, article placement, technical web content, social media, etc.
May work with/assist the Business Operations Management Analyst with the review of reporting workbooks in SharePoint; basic review of contract labor usage; and other administrative functions related to reports, data entry, printing, and/or packet preparation. May assist with the preparation and/or review of festival register packets.
Orders supplies using BPA¿s and submits Calling & Receiving reports at the end of the month to applicable branches.
Collects weekly sales and patron counts from the Daily Sales Report for MCCS clubs and distributes a consolidated weekly report to the Director, F&B. Updates the Approved Hours of Operation schedule and Recall Rosters as needed.
Monitors the MCCS website to ensure information on F&B facilities is correct to include ensuring website service tickets are submitted for any changes or updates to hours of operation, events and menus.
Assists with maintaining the F&B Office Key Control Inventory Log, issuing keys to incoming employees as well as logging in returned keys.
Demonstrates a team player attitude by being flexible and responsible, self-motivated, resourceful, managing time efficiently and showing enthusiasm for the branch, MCCS, and the community.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively and in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise.
Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Performs other related duties as assigned.

BASIC REQUIREMENTS:
Must have one year of clerical work experience.
Knowledge of graphic design and communication/marketing program principles is preferred.
QUALIFICATION REQUIREMENTS:
- Ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, etc.
- Ability to read and interpret specific procedural guides such as instructions, manuals, and established policies and procedures for assigned tasks such as filing, distributing mail, or ordering supplies, which are directly applicable to the work.
- Have a strong command of the English language to include written and oral skills.
- Knowledge of PCs and software such as Microsoft Outlook, Word, Excel and PowerPoint, spreadsheets, and database to produce a wide range of documents and collateral. Knowledge of Adobe Photoshop, InDesign, and Illustrator is highly preferred.
- Possess excellent customer service, interpersonal skills, tact, and problem-solving abilities, a team player and actively looking for a way to help people.
- Experience and/or knowledge of Naval Correspondence standards is highly desired.
