INTRODUCTION:
This position is located within the Food &Beverage, Section, Business Operations Branch, Marine Corps Community Services (MCCS), Marine Corps Base (MCB) Camp Butler.  Incumbent reports directly to the Director, Food & Beverage (F&B).

The primary purpose of this position is to coordinate and perform a wide variety of responsible administrative functions in support of the Director, F&B and upper-level management support functions as applicable.

DUTIES AND RESPONSIBILITIES:
Incumbent performs a variety of responsible administrative and clerical support duties requiring a substantial level of judgment, experience, and attention to detail.  The position operates with a great deal of latitude and independence, and selects methods, approaches, and priorities to carry out work assignments.

Receives telephone calls and assists external customers as needed.  Responds to all questions and requests in a timely manner.  Schedules appointments and meetings, greets customers, vendors, and both military and civilian personnel.  Must have basic knowledge and understanding of the function(s) of each employee and department within the branch.  Provides information based on individual judgment and refers matters to the appropriate person or office.  

Organizes effective and efficient flow of operational program processes in the office environment.  Establishes status of actions on numerous projects and program operations.  May serve on a variety of advisory committees.  May be delegated signature authority for selected administrative matters.

Operates a personal computer (PC) and peripheral equipment to prepare variety of correspondence, reports, and other documents in accordance with Naval Correspondence standards/format. Responsible for grammar, spelling, capitalization, punctuation, and appropriate format for documents created and received for review.  Reviews correspondence and ensures that all necessary supporting documentation is enclosed.  Maintains office files.  Uses a variety of office automation software in support of the organization.  Briefs new staff to the policies and procedures of the correspondence manual to ensure all documents are in proper format.  Uses a PC to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows, and presentations.  
Reviews and interprets directives and regulations.  Assists with the development and/or updates for F&B Office directives. Advises staff on the development and implementation of local administrative directives and procedures.  Develops internal policies, procedures, and work methods affecting administrative management operations for F&B.  Collects, compiles, and organizes information and data to meet administrative requirements.  Facilitates methods for automating reports and correspondence.  Provides assistance in enhancing the teamwork approach throughout the office, specifically, but not limited to, the administrative support staff within F&B.

BASIC REQUIREMENTS:
Two-year degree from an accredited college or vocational school in fields related to duties of the position AND a minimum of 2 years of progressively more responsible work experience in administrative support, which demonstrates analytical ability, mature judgment, discretion, and knowledge of a substantial body of administrative or program principles; OR an equivalent combination of education and work experience.

QUALIFICATION REQUIREMENTS:

  1. Must have knowledge of grammar, spelling, punctuation, and experience in the operation of a PC and peripheral equipment.
  2. Must possess proficient experience and knowledge of a variety of integrated software programs, such as Microsoft Word, Excel, PowerPoint, Access, Adobe Suite Programs, etc.
  3. Must demonstrate effective oral and written communication skills as well as the ability to effectively deal with people.
  4. Knowledge of military and civilian business administrative principles, concepts, and procedures is highly desired.
  5. Knowledge and experience in the development and presentation of budget and financial plans is required; such knowledge specific to NAF type organizations is highly desired.
  6. Must have or be able to obtain knowledge of MCCS policies, procedures, and mission.
  7. Knowledge of business correspondence and routine office procedures.
  8. Must be able to type 45 words per minute (WPM).
  9. Must be able to work both independently and on a team based on assignments.
  10. Must have the ability to utilize judgment in identifying potential problems and within areas of the position¿s decision making authority.
