Duties

Reports to the MCCS Operations Officer. Provides support related to operations planning and administrative processes. Assist in coordinating higher headquarters visits with the MCRD Command Staff and MCCS leadership as required. Serves as a conduit through which the Commander and staff can gain knowledge of, and direct access to the full spectrum of services offered by MCCS. Ensures an efficient and effective flow of information is maintained with Depot personnel and MCCS.


Coordinates and performs a wide variety of responsible administrative functions in support of upper-level management to include but not limited to; government purchase card holder, procurement actions, processing invoices and maintaining key control logs. Establishes status of actions on numerous projects and programs operations. May serve on a variety of advisory committees.


Assist in representing MCCS at various command staff section meetings and planning groups. Generates letter of instructions (LOIs) and fragmentation orders (FRAGOs) in support of MCCS events across the Depot. Assist in development and implementation of local administrative directives and procedures. Prepares correspondence and drafts instructions. Communicates with Division administrators, staff, and external stakeholders to coordinate various requirements for MCCS. May be tasked with formulating and developing training, policies, and procedures. Coordinates with Division leadership on responsible administrative efforts, and communicates with representatives from Directorates, Branches, and Sections within the organization to complete work. Identifies internal and external resources needed to accomplish specific tasks.


Executes and leads MCCS submissions to the Task Management system, and ensures all tasks are appropriately delegated and processed when applicable. Responsible for consolidating responses and sending MCRD¿s position when appropriate. Responsible for effective coordination with all taskers from Higher Headquarters to include TECOM, MCICOM, HQMC MR/MF, and all supported commands.


Responsible for developing and implementation of an activity safety program in accordance with the Base Safety Program. Advises employees of available safety regulations, instructions, materials, and equipment. Conducts safety inspections and takes immediate corrective action whenever work safety is compromised. Responsible for distributing inspection reports to appropriate stakeholders, compiling corrective actions, and preparing responses.


Assists in conducting studies and analysis and compiling and coordinating data for reports and presentations. Assists in the collection of data to assess improvements, accomplishments, projected, plans, and development activities. Responsible for records management and file administration for various subject matters. May serve as an action officer in conducting a variety of administrative information flow studies, work processes, reviews, and improvement studies to provide management with recommendations for optimum utilization of available resources. Establishes internal procedures to secure control in meeting deadlines, progress reports, and directives.


Works with all echelons of personnel to provide technical guidance. Utilizes knowledge and understanding of management principles, practices, methods, and techniques to perform work. Develops long range MCCS support plans. Interprets regulatory directives and procedures. May prepare instructions and local operating procedures for implementation of regulations and follow up to ensure compliance with instructions.


Assists in planning and execution of MCCS participation in Force Protection exercise. Acts as a MCCS representative to the Base Emergency Operations Center (EOC). Represents MCCS during Protection Working Groups and Safety Council Meetings.


Provides Customer Service with an emphasis on professionalism and courtesy. Assists internal and external customers and communicates positively in a professional manner. Asks questions to determine, verify and solve problems. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Performs other related duties as assigned.

Four years of experience that demonstrates the applicant has acquired the knowledge, skills and abilities related to operations planning, administrative processes, and safety, OR an appropriate combination of education and experience that demonstrates possession of knowledge and skills equivalent to that gained in the above, Experience that demonstrates ability to plan, manage, and control various administrative programs and tasks for day-to-day operations; provide management advice, and coordinate logistical and administrative support. Knowledge of and skill in applying analytical techniques and evaluation methods to improve efficiency and effectiveness. Must possess a high degree of initiative and self-motivation. Strong working knowledge of Microsoft 365 and Microsoft Office programs with the demonstrated ability to produce high level briefing materials. Must have the ability to learn new technical processes and administrate permission-based

 applications. Must have the ability to deal courteously, effectively, and tactfully with others, even in stressful environments. Demonstrated ability to build and maintain effective working relationships with all levels of military and civilian personnel, both inside and outside the organization. Flexibility in working conditions and hours is required. Must have excellent oral and written communication skills.


Knowledge of Marine Corps structure, policies, and procedures and MCCS management policies, concepts, practices, and principles to support operations and administrative planning and coordination is preferred.

This is a white-collar position where occasional lifting up to 20 lbs. may be required
