Duties
Provides support to supervisors and other staff in day to day operations affecting FFR procedures.
Performs duties on an ad hoc basis where needed, accomplishing a wide variety of assignments and analytical duties.-
Answers phone calls, greets visitors and directs visitors to the appropriate department/director.
Reviews daily incoming/outgoing correspondence.
Prepares correspondence, reports. and other materials ensuring compliance with policies and instructions.
Maintains personnel and volunteer distribution lists.
Counsels personnel on administrative matters and administers proper guidance
Establishes and maintains a filing system consisting of reports, letters. notices. regulations, manuals, directives, records, etc.
Prepare (format) directives such as instructions, notices, publications, manuals, etc.
Periodically screen and/or purge files for obsolete or irrelevant materials in accordance with applicable instructions.
Receives, delegates, reviews, and submits taskers assigned by region to FFR departments- Assists in performing research and preparation of correspondence. reports and others materials that may contain confidential and sensitive matters.
Establish an office calendar for tracking and scheduling meetings, phone conferences. projects and other important dates.
Maintains FFR and MWR Directors- calendars a as well as the Multi-Purpose Room, Conference Room, and FFR event calendars.
Responsible for monitoring, enforcing, and reporting breaches of Personal Identifying Information for the entire FFR department.
Monitors and orders various office supplies and equipment assuring purchases are made through appropriate sources and channels.
Perform other duties as assigned.

Qualifications
At least one year of specialized experience with knowledge, skills and abilities to successfully accomplish the duties of an Administrative Office servicing multiple departments.
Specialized experience may include but not limited to planning, managing daily administrative functions, analyzing information on a variety of programs, budgeting, preparing reports and providing assistance to office staff.
Knowledge of proper grammar, spelling and punctuation.
Must have knowledge and use Microsoft Office software (Word, Excel, and PowerPoint).
Incumbent must possess tact, sound judgment, initiative and the ability to work with various personnel within the NSA Bahrain
Must demonstrate effective oral and written skills.
Ability to interpret instructions. directives. and correspondence and apply them to specific situations.
High level of communication skills and ability to deal effectively with a wide variety of senior officials.
Education
