Summary

This position is located at the Athletics Division within the MWR Department, Commander Fleet Activities, Yokosuka, Japan. The incumbent performs clerical tasks to include; general typing, screening incoming telephone calls, filing, ordering supplies, status report of all work submitted to the Fitness division and other word processing correspondence using MS Office programs (Word, Excel, Power Point), RECTRAC, Adobe and other fitness software.

Duties

  • Uses computer applications to review and edit submitted articles, advertisement forms, and office rough drafts.
  • Keeps a tracker report on all work requests submitted by the Fitness Division, etc.
  • Types various forms required for day-to-day operation of Fitness Division (requests for materials/supplies, mess requisitions, etc.).
  • Maintains a variety of established office files. Establishes codes, cross­ references, and new files as required.
  • Routes incoming office correspondence appropriately.
  • May be dispatched to pick up and deliver items at various locations throughout the base. Generates a mail list to ensure that the required mail outs are completed and forwarded.
  • Screens incoming telephone calls using established procedures (telephone etiquette and security procedures), responds to routine inquiries and takes messages.
  • Greets office visitors, responds to routine inquiries from customers and MWR management and takes messages if response cannot be provided.
  • Greets office visitors and responds to customers at the counter.
  • Schedules appointments when various command representatives, commercial sponsors or advertising promoters visit the fitness division.
  • Assists in special programs and events by ensuring that all logistical requirements have been processed and met.
  • Performs other routine clerical tasks as specifically assigned.
  • Obtain Government Purchase Card and make purchases needed for Athletics department
  • Process payments, refunds, and other transactions involved within the department.
  • Process and verify contractor invoices, requests, and modifications for variety of contract/contractors.
  • Performs other duties as assigned.

Conditions of Employment

  • Must have or be able to obtain and maintain a valid driver's license.
  • Must be able complete and successfully pass a National Agency Check for federal employment suitability (T1 level).

Qualifications

A qualified candidate possesses the following:
  • High School Diploma/equivalent AND one year of general experience.
  • Knowledge of office equipment and software such as Microsoft Office suite (Word, Excel, Outlook, etc).
  • Must be able to type at least 40 words per minute (WPM).
  • Must be able to communicate effectively orally and in writing.
  • Must possess customer service skills.
  • Must be able to maintain records and reports.
  • Able to solve simple problems and handle routine situations.
  • Ability to operate point of sale systems.
  • Ability to pass federal government employment suitability requirements.

Education

  • When education is a basic requirement for the position, or when substituting education for experience, applicants MUST submit a copy of high school transcripts, college transcript, or a list of courses which includes grades earned, completion dates, and quarter and/or semester hours earned as part of the application package.
  • Foreign education must include evidence that it is comparable to education received at accredited educational institutions in the United States.

  • Direct Deposit of Pay is required.
