The Smithsonian Institution (SI) is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. The National Museum of Natural History (NMNH) is a major bureau of the Smithsonian Institution that is responsible for the acquisition, curation, and preservation of collections of objects and specimens of natural history, which tells the history of the planet and a record of human interaction with the environment and one another.

Duties

The Administrative Management Specialist supports the mission of the members of the Museum Executive Team (Director, Deputy Director, Advancement-Communication, Education Outreach, and Visitor Experience, Exhibitions, Operations and Science) by developing, initiating, and implementing administrative policies and procedures for assigned areas of responsibility.

  • Provide advice and guidance on the interpretation and application of administrative directives and instructions.
  • Provide and oversee a variety of management services, both administrative and technical in nature, that are essential to the operation of the Department.
  • Coordinate and prepare briefings, conferences and other meetings involving the Executive Team supervisor; and anticipates and gathers or develops necessary data and information in advance.
  • Complete summary reports of suspended documents by location, topic, tasked respondent, and status of response.

Qualifications

Experience for GS-12: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-11 level in the Federal Service. For this position, specialized experience is defined as developing, initiating, and implementing administrative policies and procedures; providing advice and guidance on the interpretation and application of administrative procedures; conducting special projects and studies of various organization and management systems or issues that may directly impact organizational structures and/or workflow; and providing recommendations for improvements in administrative areas such as budget, procurement, calendar maintenance and finance.

Experience for GS-13: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-12 level in the Federal Service. For this position, specialized experience is defined as developing and implementing new or modified guidelines, work processes, and operations to improve the effectiveness, efficiency, or timeliness of work processes, information dissemination, coordinating responsibilities and timelines for completion; consolidating data and reviewing to ensure accomplishment of objectives; and providing advice and guidance for improvements, anticipating areas of concern, such as budget, procurement, calendar maintenance, finance and management systems.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

You will be evaluated for this job based on how well you meet the qualifications above.
