Summary

As an Administrative Specialist within the Science Directorate, you will manage schedules and events on behalf of the Science Director/Senior Staff, including meetings, visits, agendas, seminars, workshops, retreats, and travel. You will work with scientists, engineers, safety experts, project staff, student interns, and visitors, as the primary expert on administrative processes and policies for the Directorate, and ensure timely, consistent, and accurate administrative support.

Duties

  • Assist the Director and Senior Staff in coordinating, scheduling, and prioritizing meetings, visits, appointments, agendas, and travel requirements.
  • Support planning and coordination of Directorate events, seminars, workshops, retreats; provide site coordination, including audio/visual equipment support, hybrid/virtual arrangements, documentation, and meeting announcements and communications.
  • Coordinate with other administrative assistants within the Directorate to ensure timely, accurate, and consistent support for the Director and Senior Staff.
  • Serve as the Directorate lead for records management. Identify, update, maintain, and catalog records for management systems. Provide retention schedules for records.
  • Lead the implementation of administrative management policies. Interpret and provide advice to employees and managers on policies and regulations pertaining to administrative matters, including travel.
  • Support Diversity, Equity, Inclusion, and Accessibility (DEIA) initiatives in the Directorate and facilitate DEIA topic discussions with the Senior Staff.
  • Manage Center access for foreign nationals, as required.
  • Manage budget and purchasing of Directorate supplies and materials, maintain financial records.

Qualifications

Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.

To qualify for GS-11, you must have:
a) One year of directly related specialized experience equivalent to the GS-09 level:
  • Applying knowledge to analyze, implement, and advise on records management policies and objectives;
  • Implementing and interpreting administrative policies to provide advice to employees and managers on policies and regulations pertaining to administrative matters;
  • Managing and coordinating schedules, events, and travel for senior management.

OR
b) Completed all requirements for a doctoral degree (i.e., Ph.D. or equivalent) in an appropriate field
OR
c) Completed 3 full academic years of progressively higher-level graduate education leading to a Ph.D. degree or equivalent doctoral degree in an appropriate field
OR
d) LL.M., if related
OR
e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above
