Duties

  • Prepare, edit, finalize, and disseminate correspondence to appropriate personnel and track and maintain records (manual and/or electronic) on issued correspondence.
  • Prepare travel documents (authorizations and vouchers) in the automated travel system and assist travelers with travel arrangements, resolve recurring travel issues, and audit travel records to ensure correct processing.
  • Enter and/or validate time and attendance records in the automated payroll system. Resolve recurring payroll issues, as well as audit time and attendance records for accuracy.
  • Purchase supplies and equipment using simplified acquisition procedures, maintain receipts, verify transactions, and reconcile charge card statements for submission.
  • Maintain inventory to ensure adequate supplies are available and monitor usage of official forms. Review forms to determine if they are up to date and still authorized.

Qualifications

GS 05: You must possess one (1) full year of specialized experience to the GS-04 grade level in the Federal Service. Examples of specialized experience are reception work, timekeeping, travel, filing, and typing correspondence.

Education: Successfully completed a full 4-year course of study above high school. This education was obtained in an accredited business, secretarial, or technical school, junior college, college, or university.

Combination of Education and Experience: You may meet qualifications requirement for this position with an equivalent combination of specialized experience and appropriate undergraduate education.

GS 06: You must possess one (1) full year of specialized experience at or equivalent to the GS-05 level that in the Federal Service which is in or related to administrative assistant work. Examples of specialized experience are providing customer service to internal and external customers, processing payroll and travel documents, records management, instructing others in administrative procedures, and editing correspondence.

GS 07: You must possess one (1) full year of specialized experience in level of difficulty and responsibility to that of at least the GS-06 grade level in the federal service. Examples of qualifying specialized experience are meet and deal with customers using a high degree of tact and diplomacy; performing data entry for payroll and travel; advising employees on payroll and travel regulations and assisting with travel vouchers; interpreting policy; distribution of and safeguarding personally identifiable information; implement process improvement; liaison work with other offices such as Human Resources, Contracting, etc.; distribution of new or updated policies and procedures to individuals or large groups of recipients.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Federal employees in the competitive service are also subject to the Time-In-Grade requirement in accordance with 5 CFR 300.604. If you are a current Federal employee in the General Schedule (GS) pay plan and applying for a promotion opportunity, you must have completed a minimum of 52 weeks at the next lower grade level.
