Summary

Are you a detailed oriented administrative professional with great organizational skills? We have a growing position serving as an Administrative Support Assistant. This position is located in the Architect of the Capitol (AOC), Office of the Chief Operating Officer, Library Buildings and Grounds. The assistant performs a broad range of administrative duties providing support to the jurisdiction.

Duties

Tour of Duty: Monday through Friday| 7:00 AM to 3:30 PM

ADMINISTRATIVE DUTIES AND RESPONSIBILTIES 

  • Responsible for customer service using tact, diplomacy and patience when communicating and dealing with others, e.g., co-workers, managers, supervisors and internal/external customers. Maintains good rapport and a positive two-way communication with managers, coworkers and clients. Provides advice and guidance that reflects a thorough knowledge of current available services and AOC practices, procedures and policies. Resolves problems and provides thorough and complete responses to customer inquiries in a timely manner.
  • Evaluates office processes consisting of numerous functions at varying levels of difficulty.
    • Recommends changes in administrative processes to management to enhance efficiency and effectiveness or takes initiative to execute improvements to those processes, ensuring the stability of overall operations.
  • Participates in planning and organizing the administrative automation work of the office.
    • Evaluates and improves automation operations with varying functions at varying levels of difficulty.
    • Recommends new procedures and practices relating to administrative automation policy to management or takes initiative to execute improvements to those processes, ensuring the stability of overall operations.
    • Develops and documents standard procedures to support administrative automation operations and ensures consistency and continuity.
  • Receives visitors and incoming telephone calls. 
  • Acts as a field representative when handling Worker's Compensation Claims. Assists in the completion of Worker’s Compensation forms.
    • Assists supervisors and injured employees in completing and signing forms for medical treatment.
    • Maintains contact with injured or ill employee with supervisors' assistance. 
  • Responsible for time and attendance reporting, prepares time and attendance reports for other office personnel as directed. 
    • Reviews and verifies time and attendance reports from supervisors for accuracy and completeness.
    • Provides guidance to supervisors and employees on time and attendance issues and ensures the accuracy of timesheets.
  • Reviews timesheets, performs audits and identifies discrepancies.
    • Processes new employees’ paperwork and ensures the records are entered into the payroll database and other associated locations.
    • Keeps track of alternate work schedules and ensures that participation complies with agency policies.
    • Monitors leave usage and conducts leave audits as required.
    • Assists with the offboarding and onboarding of employees by obtaining and updating various paper and computer-based information. 
  • Reads incoming correspondence and directs items to the appropriate Assistant Superintendents. Proofreads documents prepared within the Superintendent’s office. Reviews documents and reports prepared for the Superintendent’s signature for omissions and inconsistencies.
    • Gives advice and instructions for compliance with correspondence guidelines. Tracks incoming reporting requirements and completion information.

The incumbent is responsible for utilizing knowledge of and compliance with applicable AOC and Occupational Safety and Health Administration (OSHA) safety rules and regulations to ensure that work progresses in a safe manner and to initiate or take corrective action on unsafe conditions in managed areas. Provides or receives training, either on the job or through classroom training, to ensure that required Personal Protective Equipment (PPE) is utilized.

Qualifications

You must meet the United States Office of Personnel Management's (OPM) qualification requirements (including specialized experience and/or educational requirements) for the advertised position. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level.

To qualify at the GS-06 level, your resume must clearly demonstrate that you have one full year (52 weeks) of specialized experience comparable in difficulty and responsibility to at least the GS-05 level in the federal service. Examples of qualifying experience include the following types of tasks performed on a regular and recurring basis:

- Using Microsoft Office suite and other software programs to support and and assist in administrative activities to include drafting, reviewing, and editing documents, spreadsheets, and presentations.; and 

- Providing customer service in person, by phone and in writing.

To qualify at the GS-07 level, your resume must clearly demonstrate that you have one full year (52 weeks) of specialized experience comparable in difficulty and responsibility to at least the GS-06 level in the federal service. Examples of qualifying experience include the following types of tasks performed on a regular and recurring basis: 

- Performing administrative support duties to include timekeeping, travel arrangements, or personnel actions; 

- Updating and maintaining an automated records management system;

- Processing timesheets using an automated system; and

- Providing customer service in person, by phone and in writing.

To qualify at the GS-08 level, your resume must clearly demonstrate that you have one full year (52 weeks) of specialized experience comparable in difficulty and responsibility to at least the GS-07 level in the federal service. Examples of qualifying experience include the following types of tasks performed on a regular and recurring basis:

- Identifying and resolving issues related to routine administrative correspondence, data reporting, and records. 

- Providing, interpreting and researching administrative guidance in the application of organizational policies, regulations, standards, and procedures; 

- Updating and maintaining an automated records management system;

- Processing timesheets and reviewing discrepancies using an automated system; and

- Providing customer service in person, by phone and in writing.
