The incumbent independently executes a range of duties essential to the delivery of healthcare services in both inpatient and outpatient settings. Primary responsibilities include the coordination and scheduling of Veteran medical appointments, greeting patients, and managing phone and mail communications. The incumbent collaborates closely with a multidisciplinary team to coordinate the Veterans' access to their health care services. The Advanced Medical Support assistant may be required to serve on more than one Primary Care PACT team or in more than one specialty service line, or rotate into any scheduling area as needed.
The incumbent's duties entail active participation in team huddles, staff meetings, and daily communication efforts to address the care needs of each Veteran. Scheduling activities must comply with established national, VISN, and local guidance, particularly VHA Directive 1230 (Outpatient Scheduling Management), and VHA Directive 1232 (Consult Management), and must stay current with any updates or changes to VHA scheduling policies and procedures.
As the initial point-of-contact within clinics and on the phones, the incumbent sets the tone regarding the quality of healthcare services provided at the VA. Exceptional customer service and de-escalation skills are essential for effectively serving Veterans and coordinating their healthcare. A high degree of care and compassion is vital to maintaining a high-quality service experience for the Veterans while adhering to the VA's ICARE values: Integrity, Commitment, Advocacy, Respect, Excellence. The incumbent must have a thorough understanding of clinic processes and available medical services throughout the Health Care System to effectively interact with the Veteran and coordinate needs with other medical services to effectively interact with Veterans and coordinate with other medical services throughout the health care system. They must screen and receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and clinic for processes. The incumbent is expected to de-escalate situations involving upset, confused, or angry veterans or caregivers ut1uzing appropriate communication techniques while remaining professional and courteous.
The incumbent will communicate with non-VA medical facilities to ensure effective coordination of care, including during transitions from inpatient discharge to outpatient services and in obtaining necessary medical documentation from Community providers. The incumbent must be proficient in pulling reports from electronic health records and scheduling software systems to manage encounters, return to clinic orders, recall reminders, open slot management tools, and consults requiring initial or follow up scheduling actions. These systems include, but are not limited to: Vista Scheduling GUI (VSE), Consult Toolbox (CTB), Veterans Health Information Systems and Technology Architecture (VISTA), Computerized Patient Record System (CPRS), Consult Tracking Manager (CTM), Integrated Scheduling Solutions (ISS), Decision Support Tool (DST), My HealtheVet secure messaging platform, and numerous Microsoft Office applications (outlook, teams, etc.), and data dashboard tools in Pyramid Analytics and Power BI.
I he incumbent is expected to support clinic access contingency plans by adjusting appointment times, locations, or dates as needed as well as shift appointments to other providers during staffing or coverage needs. They will also assist in emergency management contingency plans for potential scheduling system outages.
To uphold patient safety standards, the incumbent must use proper identification methods, verifying two forms of identification (name and full social security number and/or Veterans Health ID Card) during every interaction, whether in person or over the phone. They must also validate and update the Veterans' demographic information accordingly.
This role involves preparing various written correspondences for Veterans, including appointments, notifications, normal lab result notices, and pre-appointment instructions. Ensuring such correspondence is error-free and accurate is essential.

Basic Requirements:
- United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
- Proficient in spoken and written English as required by 38 U.S.C. 7402(d)
- Basic Experience and/or Education Requirement:
- High school diploma or transcript (including homeschooling)
- General Education Development (GED) certificate
- Proficiency certificate issued by a State or Territorial Board or Department of Education
- Post-high school education
- You do not have one of the education levels listed above, but you were in the Medical Support Assistant occupation (GS-0679) on a permanent appointment with the Department of Veterans Affairs as of February 5, 2026, meeting all qualification requirements as part of the grandfathering provision
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Required Experience:
Advanced Medical Support Assistant, GS-6 In addition to meeting the Basic Requirements outlined above, candidates must possess the required specialized experience and be able to demonstrate
all Knowledge, Skills and Abilities (KSAs) as summarized below.
In addition to meeting the basic requirements, applicants must possess one (1) year of specialized experience equivalent to the next lower grade level (GS-5) Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple] electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments. Coordinates administrative functions relating to emergency and non-emergency transfers to other VA facilities or private hospitals and determines appointment type based on the patient's eligibility status (i.e., TRICARE, sharing agreements, collaterals, research patient, VA employee, etc.).
Knowledge, Skills, and Abilities (KSAs). In addition to the experience above, the candidate must demonstrate the following KSAs:
- Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
- Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
- Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
- Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
- Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
- Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. 8 This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
In Addition:
a) Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
b) Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.

Physical Requirements: See VA Handbook 5019. The work performed is predominately clerical in nature and requires no special physical standards. The work is usually performed in an office setting, working with others and/or alone. As typical in an office setting, there is the possibility for multiple distractions from normal operating functions and the incumbent is expected to be able to physically perform the duties of the position, aides permitted (which may include walking, sitting, standing, reaching, and bending.)
