Duties

*Catering Coordinators will receive 20% of the staff's portion of the food service charges for each event booked.

Organizes and coordinates various catering/special events such as command functions, cultural events, balls, etc.  Meets with clients to discuss requirements for events such as date, number of guests, occasion, and explain services offered, i.e., room, decorations, menu, entertainment, etc.  Receives schedules of banquet or arrangements of related activities on a weekly and/or daily basis.  Reviews the scheduled functions to ascertain that required preparations are made, to include proper staffing, room arrangements, supplies and equipment.  Responsible for the thematic decoration of rooms when not arranged by the client.  Handles any change orders promptly and correctly.  Implements all catering booking strategies to maximize the profitable utilization of time and space in each function room or activity.  Understands and follows catering procedures, ensuring timely communication is maintained and pertinent information is dispensed.  Checks and verifies work in progress ensuring procedures, methods and deadlines are met.  Ensures quality in service, food and beverage products.  Ensures that all work areas of the catering department are organized, well maintained and that all equipment and supplies are clean and stored in their proper places.  Maintains private party logs and contract files.  Follows up with client evaluation of services rendered.

Required to verify accuracy of event receipts, complete required reports, and distribute reports as directed and within timelines specified.  Responsible for funds generated from all sources, their collection, reconciliation, recording, safeguard, and deposit as directed by applicable policies and procedures. Responsible for creating revenue for overall club operations by adhering to budget. Ability to be creative in the sales process to meet clients¿ needs while maximizing revenue.

Determines the need for replenishment of materials and obtains needed items in accordance with routine procedures and authorizes stock or supply levels and may make minor deviations in procedures and methods to overcome problems such as delays in the receipt of needed materials or equipment failure.  Ensures that all security, sanitation, health, environmental, and fire regulations are adhered to within areas for which responsible.  Ensures that employees are appropriately dressed, neat and clean at all times and in compliance with sanitation regulations.

Provides exceptional customer service, and upholds high service standards using respect, courtesy, professionalism, and teamwork.  Takes the initiative to solve problems quickly but recognizes when to seek assistance to resolve issues.  Collaborates in a professional, supportive, and proactive manner. Checks for satisfaction with the quality of services provided.

Adheres to safety regulations and standards. Use the required safety equipment and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.  Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.

This position requires a flexible schedule which consists of weekday and weekend work along with evening shifts as required to meet business needs. This is a white-collar position which requires standing for extended periods, walking, pushing, lifting to 20 pounds, bending and reaching, stooping, kneeling, or crouching.  Performs other related duties as assigned.

EVALUATIONS:

Qualifications

Two years' experience that demonstrates knowledge of standardized club or food facility operational practices and procedures.  Must have knowledge and understanding of catering practices such as menu planning, event logistics, and possess the ability to coordinate with all facets of the club operation. An ability to plan, organize and coordinate functions to provide the best in quality service to patrons, with a personal dedication to complete customer satisfaction.  Skills necessary to assist customers in planning party functions.  The ability to prepare reports and complete contractual arrangements using Microsoft office.  Knowledge in catering software is a plus.  Ability to carry out responsibilities in an independent manner, working under pressure with limited supervision.  Skill to deal courteously and effectively with customers, employees and management.  This position requires a flexible schedule which consists of weekday and weekend work along with evening shifts as required to meet business needs.
