Summary

This position is located within Commander, Mid-Atlantic Region, Fleet and Family Readiness Program. The purpose of this position is to assist the Vista Point Club Manager in the effective scheduling, coordination and communication of all food & beverage operations including catered functions and special events.

Duties

Types from handwritten or rough draft materials ensuring that the finished documents contain the proper format, content, grammar, spelling and punctuation. Documents typed include, but are not limited to memorandums, forms, instructions, position descriptions, and etc.

Files documents into an established system. On occasion, may be required to set up additional filing systems. Maintains an open suspense file and periodically checks and initiates follow-up action when necessary. Establishes and maintains a resource area of regional instructions, local standard operating procedures (SOP's) and other pertinent MWR/Food & Beverage guidance.

Answers phone, routes incoming calls as necessary and provides general patron and employee information. Routes incoming mail, reports and documents.

Provides a wide variety of administrative support which includes, but is not limited to computing and preparing service charge distribution reports; preparation of Daily Activity Reports (DARs); maintenance of office and sales supplies; composing, typing, filing and distributing correspondence such as draft reports, contracts, letters, minutes, schedules and confidential/sensitive material, reviewing to insure proper presentation, neatness, completeness and adherence to current regulations and Standard Operating Procedures (SOPs); maintains trace and master file systems; issuing banks to employees; posting invoices; updating current costs to inventories and extending; records and processes deposits, banquet checks and payments and reviews timecards for accuracy and presence of required documents.

Responsible for implementing, per instructions, all catering booking strategies so as to maximize the profitable utilization of time and space in each function room. Assists the Catering Sales staff in completing the booking, planning, and coordinating of assigned catering accounts. Prepares the weekly event forecast and insures that the associated contracts are completed and distributed for the weekly catering meeting.Understands and follows the catering sales office procedures ensuring that productivity is maximized, timely communication is maintained, pertinent information is dispersed and a quality product is received by the client. This includes maintaining the catering operations information board.

Maintains open channels of communication within the catering system, MWR department and all other departments and commands, communicating concerns/suggestions regarding the operation of the catering office.

May assist with sales projects in order to achieve assigned revenue/profit goals.

May be required to oversee catered functions in progress.

Performs any other related duties as assigned.

Qualifications

The employee must be able to read, write and understand both written and verbal instructions. Must be able to add, subtract, multiply and divide accurately. Must have knowledge of basic English grammar, spelling and punctuation. Must have the skills of a qualified typist and the ability to operate an electric typewriter and personal computer. Must have working knowledge of MS Office software (Excel, Word and Access). Must be skilled in telephone answering and customer service techniques, using tact and good judgement.

Supervisory Controls

Works under the direct supervision of the Consolidated Club Coordinator, who evaluates performance, and serves as the primary point of contact for questions, concerns, and/or problems. Work is reviewed in terms of quality, efficiency and adherence to established standards and procedures. Work is performed independently and is generally repetitive in nature. Guidance and assistance are available for unusual problems or unprecedented situations.

Guidelines are contained in written local and departmental policies. Judgement is used in interpreting and adapting guidelines to meet program objectives. The supervisor is available for guidance and assistance in unusual or unprecedented situations.

Scope and Effect/Complexity

The work involves the consideration and selection of various methods or techniques defined in policies to accomplish the catering office function. Variations in the work usually are handled with relative ease and without adversely affecting activities. The quality of work affects the smooth operation of the facility and patron satisfaction.
