Summary

This position is located in Harbor View Club of the Morale, Welfare and Recreation Department, Fleet Activities, Sasebo, Japan. The incumbent is responsible to plan, arrange, schedule, and coordinate parties, private functions, banquets and other special activities within the MWR Club System.

Duties

  • Centralized responsibility for all catering activities requiring food and beverage service. Either in person or by correspondence, obtains pertinent information from the member host, such as date and time of function, number of guests expected, seating arrangements, decorations, and music and entertainment desired.
  • Analyzes the requirements for the occasion and decides on suitable types of services to be provided; discuss menu and beverage items and prices to be charged. Coordinates the event including overseeing the bar and service staff to support the function. Independently commits the club for the requested function.
  • Works to develop a contract meeting the needs of the patron. Develops pricing to be paid for services provided. Draws-up a contract for the patron's signature. Seeks guidance from management for parties held outside the club's authorized policy, regulations and guidelines.
  • Coordinates interaction between the head chef and other food and beverage service personnel to arrange special menu requirements, decorations, timelines and equipment needs.
  • Incumbent is the technical advisor on correct protocol procedures for all catered functions, which includes visiting dignitaries from other commands, the public and private sector.
  • Inspects final arrangements of catered events to ensure compliance with patron's expectations and contractual obligations. Monitors functions in progress to ensure that the service provided is efficient, courteous and correct relative to etiquette, contractual terms and protocol.
  • Maintains files of all party contracts and catering brochures. Ensures cost cards and recipes are current. Maintains the party and dining reservation books. Ensures that final catering service statements are calculated and presented to the patrons in a timely manner.

  • Incumbent must present a neat, well-groomed, professional appearance at all times. Circulates among patrons as necessary to assure satisfactory service.
  • Responsible for training food service personnel in the proper serving methods, table setting service and customer relations.
  • Performs other duties as assigned.

Conditions of employment

  • Incumbent must be able to work varied work schedules to include evenings, weekends, and holidays.
  • The work is principally sedentary. Some walking is required to inspect facilities prior to and after the catered functions. Some lifting may be required.
  • The work involves normal discomforts associated with an office environment that is adequately lighted, heated and ventilated.
  • Must have or be able to obtain a U.S. Government Vehicle Driver’s License
  • Must complete satisfactorily the Food Handler’s Physical Examination

Qualifications

  • Must have a minimum of one-year experience and the knowledge of the fundamental principles and techniques involved in operation and management of a catering program.
  • Must have the ability to assist in evaluating the adequacy of the catering operation and to make recommendations for improvement or correction.
  • Must have the ability to communicate effectively, orally and in writing and the ability to deal with patrons with a pleasant personality and tact.
  • Must be able to workday, night and weekend shifts, including holidays.
  • Must have the skill in working effectively and cooperatively with co-workers and other members of the MWR Department.
  • Must have or be able to obtain a U.S. Government Vehicle Driver's License.
  • Must complete satisfactorily the Food Handler's Physical Examination.

This position does not have an education qualification requirement.

Selection may be tentative pending the completion of the satisfactory employment reference checks.

Selectee may be required to complete a one (1) year probationary period.
