Duties

MAJOR DUTIES:  Under the direction of the Exceptional Family Member Program manager, coordinates and provides a wide variety administrative support to the Exceptional Family Member Program (EFMP).   Administrative support such as.
¿    Provide customers with information on and assistance with EFMP enrollment, assignment, and screening. 
¿    Establish the organizational flow of the EFMP program processes and provide status updates on program projects and program operations.
¿    Develops internal policies, procedures and work methods affecting administrative management operations.  
¿    Collects, compiles and organizes information and data to meet administrative requirements.  
¿    Reviews and interprets directives and regulations. 
¿    Advises staff on development and implementation of local administrative directives and procedures.
¿    Maintains official files.  
¿    Ensures compliance by managers and supervisors by reviewing and revising studies, reports, and correspondence for accuracy and format.  
¿    Prepares correspondence and drafts instructions.  
¿    Proactivity looks for operational efficiencies and facilitates methods for automating reports and correspondence.  
¿    Creates and complies information to generate reports, databases, spreadsheets, graphics, slide shows, and presentations.  
¿    Manipulates data to meet presentation and report requirements.  
¿    Enforces and trains employees on proper naval correspondence rules and correct grammar, spelling, capitalization and punctuation.  
¿    Receives telephone calls, visitors, complaints and directs them to appropriate contacts when necessary.  
¿    Receives and delivers messages to staff members. 
¿    Arranges and maintains appointment calendars for staff.  
¿    Routes incoming mail to staff and work sections.  
¿    Maintains a government purchase card and purchases supplies for the program and staff, following all purchase card holder procedures and policies.
¿    Establishes suspense dates to collect responses and submits information as required by requests. 
¿    Serve as the Information System Coordinator (ISC) for computer equipment, copier, printers, Global Address List (GAL) profile updates, assets and data ports.  Provides support for these             items or liaisons with appropriate department or business to troubleshoot. 
¿    May perform support functions such as.
o    Gathering statistical data
o    Monitoring and reporting on support budgets
o    Assisting in developing financial plans and obligating funds
o    Liquidating staff travel claims
o    Maintaining stock of office supplies
o    Making arrangements for special events
o    Preparing and conducting briefs, presentations and training sessions  
¿    May serve on a variety of advisory committees.  


Incumbent will handle sensitive information that is proprietary, privileged, confidential or otherwise legally exempt from disclosure.  Safeguards sensitive information and prevents unauthorized reading, printing, retaining, copying or dissemination of information, messages, or correspondence in accordance with rules and regulations such as those covered by the Privacy Act, 5 USC 552(a), Health Insurance Portability and Accountability Act, Public Law 104-191, and DoD Directive 6025.18.  Notifies the higher-level supervisor and senders immediately when proprietary information has been released and advises on how to properly recover, and/or protect information.  

Provides exceptional customer service, and upholds high service standards using respect, courtesy, professionalism, and teamwork.  Takes initiative to solve problems quickly but recognizes when to seek assistance to resolve issues.  Collaborates in a professional, supportive, and proactive manner.
Adheres to safety regulations and standards.  Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.  Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.

Performs other related duties as assigned.  This is a white-collar position where occasional lifting up to 20 lbs. may be required.

Qualifications

MINIMUM QUALIFICATIONS:  
¿    Three years¿ experience that demonstrates broad knowledge of administrative practices and principles.  
¿    Experience in creating spreadsheets, charts, reports, and graphs using Excel or similar program required.  
¿    Must have exemplary time management skills and the ability to identify and anticipate the needs of the program to achieve objectives. 
¿    Must possess excellent oral and written communications skills.  
¿    Must be able to solve problems and organize workload to accomplish assignments autonomously.  
¿    Skill to prepare documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation.  
¿    Skill to operate a personal computer and associated peripheral equipment and software.  
¿    Knowledge of a variety of support functions such as: handling sensitive information that is proprietary, privileged, confidential or otherwise legally exempt from disclosure, gathering statistical          data, monitoring and reporting on support budgets, assisting in developing financial plans; obligating funds, liquidating travel claims; maintaining stock of office supplies.  
¿    Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization.
