Summary

The Lead Medical Support Assistant (LMSA) is a highly, specialized position and performs multiple duties in the Office of Community Care (OCC). Important interfaces and collaborations also occur with larger health care system providers including VA and Community providers, hospitals, diagnostic and treating facilities, and community-based programs.

The Lead Medical Support Assistant will act in the capacity of liaison/expediter between patients and clinical staff as well as specialty staff and ancillary services.

The LMSA will perform duties as part of a multi-disciplinary team that consists of physicians, Registered Nurses, Licensed Vocational Nurses, other administrative staff members and multiple non-VA medical care providers. The team provides the majority of the healthcare needs for assigned primary and specialty care services and works collaboratively with other members of an expanded health care team to provide a robust interdisciplinary approach to care.
The incumbent reviews and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. The incumbent assures coverage of all areas of responsibility. The incumbent will be conducting ongoing reviews to ensure quality of work and reviews tracking systems for items such as consults and authorization timeliness.
The incumbent will provide guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; and organizing the work structure of his/her assigned areas.
The LMSA will create and maintain work environment that fosters productivity, customer service and employee satisfaction and acting as liaison between MSA and staff in order to resolve day to day conflicts.
The LMSA will serve as a knowledge reference for staff regarding programs and processes conducted in the OCC. The incumbent is required to have substantial knowledge of the Community Care processes and services.

Work Schedule: 8:00am to 4:30pm

Pay: Competitive salary and regular salary increases.
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)
Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.
Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.
Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA

Qualifications

Basic Requirements:

Grade Determinations: Lead Medical Support Assistant, GS-7
Experience. One year of experience equivalent to the GS-6 grade level.

In addition to meeting the experience above, the candidate must demonstrate the following KSAs: (a) Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community. (b) Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. (c) Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. (d) Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. (e) Ability to provide staff development and training. (f) Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

Assignment. For all Lead assignments the Lead MSA must spend at least 25% or more of their time performing lead duties. The Lead MSA is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit. The Lead MSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. The Lead assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources. Assignments at this level include but are not limited to ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts.

Preferred Experience:
  • Experience reviewing, monitoring, and managing Community Care consults, authorizations, tracking systems, and timeliness requirements across multiple clinics and specialties.
  • Experience distributing and balancing workload, resolving daily operational issues, providing performance input, assisting staff with policy/procedure changes, and serving as a knowledge resource for OCC processes.
  • Experience orienting new employees, providing on-the-job training, ensuring completion of required training, and supporting continuous staff development.
  • Experience navigating multiple scheduling, consult, and patient management systems to support interdisciplinary care teams and ensure continuity of care.
  • Experience interacting with Veterans, families, clinicians, and administrative staff with professionalism, tact, cultural awareness, and the ability to resolve concerns constructively.
  • Skill in organizing work, setting priorities, following up on incomplete items, and ensuring completion of tasks with minimal supervision in a fast-paced clinical or administrative environment.
