Summary

This position is located in the Department of the Chief Operating Officer, Modernization Office. This remote opportunity can be performed from the employee's home of record.

Pay will be determined based on the duty location of the position. Remote employees will receive the locality rate associated with the location of their remote worksite, typically the employee's place of residence.

Duties

  • Provide administrative support that include coordination of meeting logistics.
  • Note taking as assigned, supporting the administrative requirements of the staff recruitment and selection process.
  • Establish effective tracking systems for office required processes.
  • Support the coordination of office leadership travel document preparation and submission.
  • Effectively manage and organize the departmental documentation management and retention requirements related to organizational functions, team meetings, critical projects, and initiatives
  • Maintain network folders (SharePoint, Teams, etc.)
  • Assist with the day-to-day organizational coordination of modernization activities.
  • Assist in maintaining and archiving program and administrative files in alignment with the agency's records program.
  • Support project specialists with administrative tasks related to generating project documents, accessing materials to support modernization activities, distributing status/report updates related to modernization activities.
  • Review all documents and reports for accuracy and consistency.
  • Perform calendar management duties related to the Modernization Office staff meetings, routine stakeholder engagements, and events.
  • Prepare and disseminate agenda items and minutes from meetings.
  • Prepare all documents necessary for meetings/conferences.
  • Ensure staff are kept informed of meetings and any changes.
  • Provide logistical arrangements for events and activities that may require staff travel.
  • Work with new employees to ensure orientation to the Modernization Office is coordinated and any pertinent documents are provided.
  • Field requests for information, determine the priority, and refer customers to the appropriate staff.
  • Promptly and effectively screen and coordinate the response to questions or issues that arise when the Chief Modernization Officer or Deputy Chief Modernization Officer are unavailable.
  • Performs other duties as assigned.

Qualifications

Applicants must have one year of specialized experience comparable in scope and responsibility to at least the NY-01 pay band, which would be at or equivalent to, the GS-05 level in the Federal Service. Specialized experience is that which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience includes:

Specialized experience includes at least two of the following:

(1) implementing new and emerging agency-wide initiatives;
(2) identifying ways to enhance the grant applicant, service member, and/or volunteer experience; and/or
(3) refining an organizations management business processes within new technology systems and tools.

OR
Education: Successfully completed 2 full years of progressively higher-level graduate or master's degree that is directly related to the work of the position. NOTE: You must submit a copy of transcripts.

OR
COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. NOTE: You must submit a copy of transcripts.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps VISTA) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills can provide valuable training and experience that translates directly to paid employment. You will receive credit for qualifying experience, including volunteer experience.

Remote Status: This position is eligible for full-time remote work based on the duties of the position. If selected, employees must sign a remote work agreement prior to onboarding that details remote working conditions and expectations for the position. As agency remote work policies are finalized and/or evolve, there may be additional guidance and requirements for the position. After hire, employees must follow the requirements in the agency's change of duty station policy when changing duty stations.
