Summary

This Program Support Assistant position is located at a VA medical facility in the Education Service. The purpose of this position is to coordinate administrative and support services to assist the Education Services in fulfilling requirements related to VHA's academic mission and program requirements of Office of Academic Affiliations (OAA) and accrediting bodies.

Duties

Major duties include, but are not limited to:

  • Manage tuition and scholarship reimbursement requests, collect and verify documentation
  • Monitor aged orders for linked fund control points
  • Execute micro-purchases, vendorize suppliers, verify funds/approvals, track shipments and deliveries
  • Build and submit contracting packages, obtain quotes, follow up on undelivered orders
  • Maintain the Tuition Reimbursement SharePoint site, field questions as the person of contact
  • Execute timekeeping for Education, reconcile AcuStaf, process corrections.
  • Preferred experience includes: at least 1 year previous timekeeping experience, at least 1 year contracting experience- Contracting Officer's Representative (COR) training

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Work Schedule: Monday - Friday 7:30am - 4:00pm

Qualifications

In order to qualify for this position at the GS-7 level, you must possess the following:

Specialized Experience: One (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-7), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-6) in the Federal service. Specialized experience includes experience where you were responsible for providing administrative support functions within a healthcare facility; experienced with procurement processes necessary to obtain goods and services for an office; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; assisting in the formulation and execution of budget estimates to include updating budget spreadsheets which are used in briefings; collecting, compiling and tracking data and information; and researching reference materials, regulations, and standards to identify appropriate action necessary to correct problems or issues.

NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items. The work is performed in an office setting which require normal safety precautions typical for offices and meeting rooms. The work area is adequately lighted, heated, and ventilated.
