Summary

The Program Support Assistant position is located in the Neurology Service at the Nashville campus of Tennessee Valley Healthcare System (TVHS).The Program Support Assistant provides administrative and technical support to the Neurology department and Staff members. The position includes a broad range of responsibilities and serves as a liaison between the Nashville and Murfreesboro campuses and two academic affiliates.

Duties

Duties include, but are not limited to:

  • The Program Support Assistant will actively support clinic operations, including all aspects of clinic set up, cancellation, modification and usage. This position will oversee the process from start to finish, including working with Nursing Staff, Providers and Schedulers to ensure clinic space is available, coordinates and communicates with nursing staff, and ensures that scheduling instructions are relayed to all parties.
  • The incumbent will independently assess how current clinics are functioning, and make recommendations if revisions are needed in existing clinics, such as adding additional appointment times, adding a make-up / additional clinic, or modifying slots to better accommodate our veterans.
  • Monitor daily functions of all assigned areas, including but not limited to performance measures, electronic wait lists, consult review, RTC (Return to Clinic) order review and open encounters.
  • The Program Support Assistant is the main Service Recovery Agent for the Neurology Service and will actively work with Patient Advocates in addressing patient concerns and successfully resolving the veteran's issue.
  • The Program Support assistant will be responsible for working with Records Management and creating procedures and ensuring files have been correctly uploaded to Vista Image Display (and/or processing if required), and properly disposing of records in accordance with NARA (National Archives and Records Administration) guidelines.
  • Advanced knowledge of Excel is needed for daily reports, and familiarity with Visio software, PowerPoint and MS Project to compile reports, export data, and provide information in a timely and clear fashion is necessary.
  • Receives visitors and phone calls from people of all levels and ascertains the nature of the call or visit to direct to the person or call to the appropriate person or section. Checks in patients for providers and technician.
  • Serves as timekeeper for Neurology Service at the Nashville campus. Maintains time and attendance reports for all staff.
  • Prepares correspondence, forms and reports for the Neurology Service Chief and Assistant Service Chief and others utilizing typing skills, mastery of the English language, proper format, regulations governing release of information and other pertinent regulations.
  • Maintains the appointment calendar for the Neurology Service Chief and Assistant Service Chief. Schedules meetings, appointments and conferences for the Neurology Service. This includes maintaining the agenda and minutes for meetings. Incumbent reminds supervisors of appointments and briefs supervisors on matters to be considered before scheduled meetings.
  • The incumbent will work with the Administrative Officer to help coordinate administrative services for the Neurology Service at the Nashville campuses. On occasion the incumbent will be expected to provide backup support for the Murfreesboro campus.

Work Schedule: Monday-Friday 8:00 AM-4:30 PM

Specialized Experience: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Qualifying specialized experience includes performing a full range of administrative support for an office;; Microsoft Office email and spreadsheet systems; retrieving files; maintaining calendars, appointments and schedules; maintaining time and attendance records; coordinates meetings and scheduling conferences; make arrangements for travel; maintain inventory of office and medical supplies and equipment; using automated data processing equipment to generate a variety of reports; typing letters, memos, reports, etc. in final form; customer service; processing incoming and outgoing materials such as correspondence, reports, and other forms of written communication. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. ~ AND ~

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirements, you must be able to type at least 40 words per minute. There is no educational substitution for the GS-06 level.
