JOB TITLE:  Events Coordinator
BUSINESS TITLE: Admin Support Coordinator

JOB SERIES: 1101      PAY LEVEL: NF-03


INTRODUCTION:  The primary responsibility of this position is to provide direct administrative support to the Entertainment\Special Event Programs and operation.  Assists staff members and managers in both Entertainment and Special Events. This position has a broad range of responsibilities including coordination, scheduling logistic support, supervision of administrative staff, Contract Staff, and volunteers. Works closely with commands, units, and all MCCS branches to offer a wide range of activities, functions, programs and events.

Reports to the Special Events Program Manager and assists both Entertainment Program Manager and Entertainment/Special Events Director with any administrative support that may be needed.

DUTIES AND RESPONSIBILITIES:

Administrative duties consist of the following but not limited to; performing responsible administrative duties requiring a substantial level of judgment, experience and discretion in support of various components of Special Events\ Entertainment projects to include annual festivals, concerts, special events, supporting command events, vendor activities, rental services, cash handling operations, and capital submissions.

Assists both the Special Events and Entertainment Program Manager's in accomplishing the following but not limited to; correspondence, weekly reports, monthly reports, presentations, Letter of Instruction (LOI).  Attends committee meetings and taking meeting notes.  Completes inventory transfer and receipts, manage daily activity report (DAR), Blank Purchase Agreements (BPA) caller and receiver, Marketing Service Request (MSR) to promote island-wide publicity by utilizing all available marketing support which may include radio, television, magazines, public affairs releases, posters, flyers, banners, and newspapers. Sponsorship Request Form (SRF), petty cash vouchers and contract staff worksheets in a timely manner.

Works closely with Program Managers with direct and daily coordination, interaction, and planning with the MCCS Community Service Coordinators/ Leaders/ Representatives for all island-wide Camps and supporting military services.

Assists customers, directs calls and visitors, handles majority of customer requests for information as appropriate.  Maintains, organize and update various event files, regulations, manuals and directives.  Reviews all incoming correspondence, determining proper action and response.  Reviews outgoing correspondence and reports ensuring proper format and concurrence with established directives.  Maintains programs events calendar, schedules appointments, schedules event planning meetings handles matters and situations of a confidential and sensitive nature in accordance with guidelines.

Handles all aspects of the home rental program to include completing and maintaining necessary paperwork, accepting payment, preparing refunds both in accordance with appropriate policies and directives. Ensuring accurate and up to date website information and any required reports are completed.

BASIC REQUIREMENTS:

1. Two years of recreation/leisure services experience which demonstrates the knowledge of principles, techniques, and methods of procedure used in organizing, planning, administering, and conducting recreational/outdoor activities.

2. Must have a Driver's License for Okinawa Privately Owned Vehicle (POV).

3. Must obtain a Government Owned Vehicle (GOV) License within 60 days of employment.


4. Must be able to perform work requiring prolonged standing, walking, reaching, lifting, and carrying objects up to 25 lbs. (12 kg) independently and objects over 40 lbs. (18 kg) with assistance.

5. Must be able to accommodate a flexible work schedule to include nighttime, weekends, and holidays.

QUALIFICATION REQUIREMENTS:

1. Knowledge of basic administrative policies, procedures, and regulations, and ability to demonstrate such knowledge in performing work, e.g., compiling reports and statistics, composing letters and documents, managing files and records, and other related admin duties. Working knowledge of Naval Correspondence is preferable.

2. Work experience in organizing outdoor events/activities, planning and execution of events, transporting equipment, setting up temporary stands, tents, dismantling and storing equipment.

3. Knowledge of technical areas of recreational activities such as outdoor safety, environmental requirements, fire prevention, and heath inspections.

4. Intermediate level of experience in Microsoft Programs such as Word, Excel, Access, Outlook, and PowerPoint.

5. Excellent customer service, interpersonal skills, tact, and problem-solving abilities, a team player and the ability to assess and initiate assigned task independently.

6. Skills to communicate with all levels of command and active-duty personnel.  Ability to communicate orally and in written in a clear and concise manner.
