Duties
Administratively supports the comprehensive, year-round programs and activities within the Marine Forces Reserve Marine Corps Community Services/Semper Fit division. Coordinates and performs a wide variety of responsible administrative functions in support of management functions.
Provides administrative and clerical support for ALL Semper Fit programs. Operates a personal computer and peripheral equipment to produce a variety of correspondence. Compose, edit and proofread reports and correspondence prior to Director’s/Deputy Director's signature. Creates spreadsheets, Purchase Order Requests, request for contracts, reports and equipment inventory lists using various database systems. Establishes and maintains subject matter, files and records. Makes arrangements for travel and transportation as directed. Responsible for directives from handwritten drafts or oral instructions in accordance with available guidelines and instructions by utilizing a personal computer. Responsible for correct spelling, punctuation, and proofreading of typed materials.
The incumbent must be able to obtain a government purchase credit card in order to initiate purchase requests for required equipment, supplies, and services with guidance from leadership.
Makes continuous liaison with MARFORRES units via phone, email, and online surveys, to access Semper Fit needs – gathers information to assist MCCS Leadership with formulating courses of action to better accommodate the Force. Performs Semper Fit briefs at MCCS inter-departmental conferences/trainings.
Advises staff on development and implementation of local administrative directives and procedures. Develops internal policies, procedures and work methods affecting administrative management operations. Ensures compliance by managers and supervisors by reviewing and revising studies, reports, correspondence for accuracy and format. Collects, compiles and organizes information and data to meet administrative requirements. Prepares correspondence and drafts instructions. Facilitates methods for automating reports and correspondence. Uses a personal computer to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations. Manipulates data to meet presentation and report requirements.
Enforces and trains employees on proper naval correspondence rules and correct grammar, spelling, capitalization and punctuation. Receives telephone callers, visitors, complaints and outside contacts and directs them to appropriate contacts when necessary. Receives and delivers messages to staff members. Arranges and maintains appointment calendars for staff. Routes incoming mail to staff and work sections. Establishes suspense dates to collect responses and submits information as required by requests.
May perform support functions such as gathering statistical data; monitoring and reporting on support budgets; assisting in developing financial plans, obligating funds, liquidating travel claims; maintaining stock of office supplies, making arrangements for special events; collecting and reviewing section timecards for supervisor’s signature, preparing and conducting briefs, presentations and training sessions; monitoring and distributing personnel paperwork such as selection and recruitment requests, personnel actions, training notices, performance reviews, position descriptions, individual development plans.
May perform duties as the Information Systems Coordinator (ISC). Acts as the liaison for the MCCS staff to the MFR G-6 Information Technology (IT) department. Assists the MCCS staff with their IT questions and challenges. When needed, performs troubleshooting on minor IT issues and creates incident reports in Remedy in order to request G-6 support. Follows up on all requests to ensure that all IT problems are corrected.
Performs duties as the MCCS PowerBI Administrator. Creates and maintains PowerBI site pages for each MCCS Section. Assists MCCS employees with the migration of their data and conducts training on how to use the platform. Maintains the MCCS PowerBI site. Grants access as required. Develops new site capabilities and reporting mechanisms.
Performs duties as the Distance Learning administrator for MCCS. Assist the MCCS staff with creating Distance Learning classes. Ensure classes are formatted properly.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.
