Job Summary:

The Office of the Chief Administrative Officer (CAO) provides operations support services and business solutions to the community of 10,000 House Members, Officers, and staff. The CAO organization comprises more than 650 technical and administrative staff working in a variety of areas, including information technology, finance, budget management, human resources, payroll, childcare, food and vending, procurement, logistics and administrative counsel.

The incumbent serves as the Office of Finance’s primary expert on vendor and customer table maintenance, ensuring all necessary banking information is updated for timely accounts payable processing. Key responsibilities include handling daily requests for vendor table additions and modifications related to payment and procurement, offering guidance on vendor table maintenance, verifying account details and adequacy of supporting data, and responding to customer inquiries via phone or email. Additionally, the incumbent processes transactions and completes administrative tasks as assigned. The role ensures that there is sufficient backup for vendor table maintenance and adheres to established accounting policies and procedures. This position does not involve supervisory duties.

Primary Duties/Responsibilities:

·         Follows up with vendors, as necessary, to secure certification documentation. Obtains ACH and EFT records and maintains W-9 vendor information; and assists with preparation of the annual Form 1099 Miscellaneous Income Return  and 1099-NEC, Nonemployee Compensation reporting.

·         Supports other Accounting staff in transaction processing, reconciliation and analysis and financial reporting.

·         Assists in implementing corrective actions resulting from internal control reviews, external audits and Office of Inspector General program audits and advisories.

·         Informs the Accounting management of important issues as they arise. Provides the status of critical functions and special projects to ensure effective continuation of accounting goals and objectives.

·         Maintains current standard desk operating procedures on primary tasks.

·         Processes accounts receivable, cash receipts and other transactions in accordance with office procedures.

·         Accepts special projects and prepares analyses and reports as assigned.

·         Performs other official duties and special projects as assigned.

Qualifications

Qualifications:

·         High School/GED diploma plus two years experience in high volume, customer service environment or preferred Accounting or Business degree.

·         Detail-oriented person with strong organizational skills, working knowledge of computers and relational databases, as well as basic mathematical skills.

·         Must be self-motivated with the ability to multi-task while working in a team environment.

·         Must be able to secure and maintain Federal Government security clearances as deemed appropriate by senior management.

·         PeopleSoft experience preferred.
