Summary

This position is located in the Criminal Section. As the Administrative Specialist, you will perform a full range of administrative duties to support the organization's operations, including serving as the liaison between employees and management; providing customer service; analyzing data, researching information, and preparing reports; managing and drafting documents or correspondence; making travel arrangements; coordinating meetings; and performing timekeeping processes.

Duties

The incumbent will serve as an Administrative Specialist-GS-0301-9. Duties include, but are not limited to:

  • Primary point of contact for administrative functions for the Section
  • Regularly coordinate and maintain a high volume and wide variety of legal memoranda packages, authorizations, and correspondence between the Section, the Front Office, and other components, including updating spreadsheets with status reviews and/or reports
  • Payroll administrator
  • Travel administrator for the Section where a majority of staff require nationwide and/or international travel up to 75% of the time, including travel arrangements for employee travel to the National advocacy Center, and travel by expert witnesses and fact witnesses
  • Administratively support paralegals and attorneys with important and time-sensitive projects, including: preparing witness binders and trial exhibits per their specifications; creating Excel spreadsheets; organizing material from a variety of social media platforms; and reviewing and printing material from smart phones

Qualifications

Specialized Experience Requirements

To qualify for the position of Administrative Specialist, at (GS-0301-9), you must have one (1) year of specialized experience equivalent to at least the GS-07. Your resume must clearly demonstrate that you possess all of the specialized experience listed below, showing you have the knowledge, skills, and abilities needed to successfully perform the duties of the position.

Specialized experience includes:

- assist with travel arrangements, authorizations and vouchers, and travel cards; AND
- assist trial teams with file management and trial preparations, including tasks such as reviewing and organizing materials, organizing spreadsheets, and preparing trial binders; AND
- assist with legal memoranda packages, authorizations, and correspondence.

OR

You may substitute education for specialized experience as follows:
- a master's or equivalent graduate degree; OR
- 2 full years of progressively higher-level graduate education leading to such a degree; OR
- LL.B. or J.D., if related.

OR

Combination of Experience and Education. To combine education and experience, the total percentage of experience at the required grade level compared to the requirement, as well as the percentage of completed education compared to the requirement must equal at least 100 percent. Only graduate level education in excess of the first 18 semester hours (27 quarter hours) may be combined to be considered for qualifying education.

Time-In-Grade Requirement: Applicants who are current Federal employees applying for a higher grade must meet time-in-grade requirements by the closing date of this announcement. You MUST provide an SF-50, which shows position, type of service appointment, tenure group, grade, duty location, and salary. If your most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year (52 weeks) time-in-grade, as required by the announcement. Offices, Boards and Divisions

The Civil Rights Division (Division) of the Department of Justice, created by the enactment of the Civil Rights Act of 1957, works to uphold the civil and constitutional rights of all Americans, particularly some of the most vulnerable members of our society. The Division is primarily responsible for enforcing federal statutes and executive orders that prohibit, among other things, unlawful discrimination in education; employment, housing, police service, public accommodations and facilities, voting, and federally funded and conducted programs. The Division also has jurisdiction to enforce constitutional prohibitions on certain conduct by law enforcement agencies and public residential institutions, such as health care and correctional facilities.

Criminal Section: One of the oldest of the Civil Rights Division's sections, the Criminal Section enforces laws that date to the post-Civil War Reconstruction Era. Originally a part of the Criminal Division, the Criminal Section and its enforcement authority was moved to the Civil Rights Division when the Division was created in 1957. The Criminal Section is the only component of the Civil Rights Division that prosecutes criminal violations, while the remainder of the Division handles civil matters.
