Summary

The Asset Inventory Specialist is responsible for the lifecycle management of the Sergeant at Arms' physical and digital assets. The Asset Inventory Specialist maintains detailed records of software/hardware and property tagged with an asset ID. Additionally, the Asset Inventory Specialist coordinates annual audits and ensures compliance with inventory tracking standards.

This is a non-supervisory position.

Duties

  • Receive and check incoming equipment deliveries, apply asset tags, and enter new items into the inventory tracking system.
  • Maintain a centralized asset inventory database for all tagged items including hardware (e.g., printers, TVs, servers), software, and other equipment.
  • Ensure every item is appropriately tagged, categorized, and updated in the asset management system.
  • Perform routine asset reconciliation and support internal audits to maintain compliance and data integrity.
  • Plan and execute annual inventory audits in collaboration with division leads and the CAO.
  • Produce clear and accurate audit reports and address discrepancies in a timely manner.
  • Track and manage software licenses, including renewal dates, compliance terms, and vendor information.
  • Serve as liaison with software vendors and internal stakeholders for license allocation and usage.
  • Coordinate the proper removal of obsolete, broken, or surplus assets from office spaces and the CAO inventory list.
  • Ensure secure decommissioning of IT assets, including data wiping or destruction in compliance with data security policies.
  • Maintain documentation of asset disposal approvals and methods, in alignment with SAA policies.
  • Performs other duties as assigned.

Work Schedule:
Full-time, permanent. Monday - Friday 9:00am - 5:30pm.

Must be able to work outside of normal business hours when necessary, evenings and weekends as needed.

Must be able to successfully pass a criminal history records check.

Qualifications

Work Experience and Education:
Incumbent must possess a solid background in asset management, inventory control, or IT administrative support. Experience maintaining asset records, coordinating with vendors, and working with inventory management systems is essential. Knowledge of federal or public sector asset management practices is preferred. Ability to obtain and maintain a Top-Secret security clearance.

Knowledge, Skills, and Abilities:
Incumbent must have strong knowledge of asset tracking principles, inventory management, and software license administration. Proficiency in using spreadsheets and asset management systems such as ServiceNow or equivalent platforms is essential. Incumbent must also have excellent organizational skills; strong oral and written communications skills; provide excellent customer service; ability to exercise good judgment and maintain a professional and courteous work disposition.
