Summary

Duties

Provides information regarding equipment, services, and policies; handles tickets and inquiries on various inventory related matters, such as lost/stolen/damaged equipment, equipment reassignments, and individual office concerns; Initiates and processes invoices for lost/stolen/damaged equipment. Conducts physical inventories of equipment in Senate offices and Committees; updates inventory management system; enters and updates computer databases for tracking equipment; generates periodic reports; ensures that all changes and updates resulting from additions, deletions and assignments of items are inputted and accurately completed. Receives and processes vouchers, invoices, and receipts. Adding IT and General Office Equipment purchased outside the SAA Catalog. Issues SAA Temporary Property Passes and SAA Asset Tags to Senate employees for equipment. Adds, changes, and deletes products and services to the technology catalog. Serves as a liaison between the Senate and the General Service Administration (GSA) on local and state equipment; maintains and provides accurate documentation of equipment assignments to Senate offices. Reviews, assigns and monitors the ordering, receiving, shipping, issuance, delivery, transfer, installation, and disposal of equipment; Receives, analyzes and validates all General Office Equipment orders and configuration sheets submitted by Senate offices; ensures hardware compatibility, pricing and availability of equipment; advises requesting office of any difficulties and works with staff to resolve issues. Serves as liaison between Senate offices and vendors for billing issues, equipment concerns and tracking orders; maintains and provides accurate documentation of equipment assignments. Creates purchase requisitions for all General Office Equipment purchased by Senate Offices through the SAA. Works with SAA Finance and vendors to resolve billing questions for Senate offices. Other duties as assigned.

Qualifications

Required Work Experience

  • One to three years of experience with customer service, operation of IT, telecom and/or office equipment, and a basic understanding of inventory methods

Required Special Skills/ Knowledge

  • Knowledge of inventory database and ticketing software and procedures.
  • Knowledge of office equipment, computers, relevant software/Web applications, and spreadsheets and databases.
  • Ability to prepare accurate and correct records and reports.
  • Ability to stay abreast of information inventory trends and developments.
  • Ability to establish and maintain effective working relationships with SAA employees, vendors, and Senate staff.
  • Ability to communicate effectively

Desired Qualifications

  • Knowledge of asset management processes and inventory control systems.
  • Experience preparing accurate records, reports, and documentation.
  • Ability to identify, investigate, and resolve inventory discrepancies.
  • Familiarity with inventory control technology and tools.
  • Strong communication skills, with the ability to work collaboratively with SAA employees, Senate staff, and vendors.
  • Proven ability to prioritize tasks effectively, solve problems, and manage multiple responsibilities.
  • Demonstrated experience in developing and implementing asset management procedures.
  • Familiarity with Senate rules and protocols related to asset management (preferred but not required).
  • Ability to stay up to date with evolving inventory management technologies and practices.

Education

High School Diploma, GED, or an equivalent combination of education and work experience.
