Duties

The United States Space Force (USSF) Headquarters Space Force Command at the Pentagon is searching for an Executive Support Specialist (NH-0301-02, GS 5 to 11 equivalent).

Description:

In this pivotal role, the employee expertly plans, organizes, and oversees the workflow management and administrative duties for the Chief Operations Officer, ensuring that operations run smoothly and efficiently. With a keen understanding of organizational goals, they align directorate objectives with customer needs, all while effectively communicating complex information in a clear and confident manner. This individual meticulously balances workload across subordinate units, providing guidance on a range of administrative issues, and ensures optimal use of resources to meet both organizational and installation requirements. They are adept at scheduling and coordinating activities among various installation and functional area organizations, cultivating strong relationships with Directors, Commanders, and Division Chiefs. Their proactive involvement in special projects and initiatives not only includes analyzing facts and preparing comprehensive reports but also extends to offering strategic recommendations for unresolved issues. As a senior civilian in the directorate, they take the lead in long-term planning, setting milestones for critical projects, and serving as a key advisor to the Director, all while keeping the team informed of relevant developments that impact mission fulfillment. Their role is integral in fostering continuity of management and providing expert guidance across all program aspects, ensuring that both quality and efficiency remain at the forefront of operations.

The ideal candidate should possess the following: Bachelor's degree with prior experience in supporting a senior executive or team; Adaptable in changing environments; Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel); Exceptional writing, editing, and proofreading skills. Familiarity with the Department of Defense or Department of the Air Force is a plus; Excellent organization and time-management skills

Key Skills and Abilities:
1. In-depth knowledge of administrative regulations, principles, processes and documentation procedures; ability to interpret policy and procedures applicable to configuration and data management and tailor support programs to specific requirements.
2. Ability to schedule, coordinate, and react to changes in/to leadership processes.
3. Knowledge of directorate processes.
4. Ability to analyze and improve work process.
5. Ability to communicate effectively both orally and in writing to prepare and present briefings, coordinate planning efforts and manage program activities.
6. Ability to research, analyze, interpret and apply rules, regulations and procedures to a variety of situations and to recommend timely and economical solutions.
7. Ability to plan and organize work and coordinate with other disciplines.

  • U.S. Citizenship Required
  • This position is on-site and eligible for situational telework, 2-4 days per pay period. Employee must reside within commuting distance of worksite. Schedule and percentage will be determined by leadership, employee, and the situation.
  • PCS is authorized; Incentives are not authorized.
  • Employee must be able to obtain and maintain a Top-Secret w/SCI clearance.
  • This is a drug testing designated position. The incumbent is subject to pre-employment drug testing as a condition of employment, and participation in random drug testing.
  • Required to handle and safeguard sensitive and/or classified information in accordance with regulations to reduce potential compromise; must obtain and maintain the appropriate security clearance for the position.
  • Must be available to participate in Government mandated and/or required training to achieve/maintain proficiency.
  • May be required to travel by military or commercial aircraft within CONUS or to downrange sites in the performance of Temporary Duty Assignments (TDY).
  • Incumbent may be required to perform other duties as assigned.
