Duties
This excepted service position is being filled under the provisions of the Pathways Internship Program, which is designed to provide students enrolled in educational institutions, from high school to graduate level, with paid work opportunities. The program allows students to be exposed to the work of the government through federal internships while pursuing their degrees. The internship also provides federal managers a ready source of student employees and potential permanent employees upon completion of the program requirements.
This position is not a routine telework position or summer internship. Selected applicants will be required, per mission requirements, to physically report to the DOJ OIG office location in which they are assigned and can work the duration of their academic career.
If selected for this appointment as General Administrative and Office Services Intern with the Audit Division, you will gain access to invaluable work experience as part of a well-respected team that is responsible for conducting reports on, and tracking the resolution of performance, financial, and information security reviews and audits of organizations, programs, and functions within the Department.
If you are selected as a General General Administrative & Office Support Intern, your responsibilities would include, but would not be limited to:
- Identifying data required for use in the management and direction of programs.
- Coordinating assigned activities in support of program operations.
- Identifying various resources (e.g., staffing equipment) required to support program operations.
- Researching and investigating new or improved business and management practices for application to agency programs or operations.
- Using office automation software to produce a variety of materials, such as spreadsheets, plans, procedures, memoranda, letters, charts, database, travel requests, and presentations from rough drafts.
- Answering the telephone and greeting visitors, answering questions not requiring significant technical knowledge, and referring technical questions to the appropriate staff member.
- Performing other administrative and management support assignments. Using word processing software to type letters, memoranda, reports, etc. from handwritten or rough drafts, marked-up copy, and oral instructions into final, error-free copy. Ensuring correct punctuation, spelling, capitalization, and grammar and verifying the format conforms to OIG regulations, style manuals, and office procedures.
- Assembling data and using database or spreadsheet software to enter, revise, sort, or calculate and retrieve data for standard reports.
- Assisting in establishing and maintaining an extensive high- volume suspense tracking system.
- Receiving and reviewing incoming mail, reports, and other documents for distribution to appropriate staff according to established procedures and knowledge of organization.
- Maintaining existing office files and establishing new filing systems, as needed.

- You must be able to pass a background investigation and credit check and drug testing. You will be subject to random drug testing.

- You must maintain a GPA of 3.0 or better for the duration of this internship (failure to meet this requirement will result in immediate termination).
- The student will participate in an OIG-wide mentorship program.
Qualifications
As a condition of employment for accepting this position, you may be required to serve a 1-year probationary period OR 2-year trial period during which we will evaluate your fitness and whether your continued employment advances the public interest. Basic Qualifications
- Must be at least 16 years of age.
- Must be enrolled or accepted for enrollment in a technical or vocational school, 2-year or 4-year college or university, graduate or professional school, at a qualifying educational institution on a half-time or full-time basis.
- Must be in good academic standing with a cumulative GPA (grade point average) of 3.0 or better (must provide a transcript and proof of enrollment/acceptance letter); these standards will be in effect for the duration of the internship.
- Must maintain enrollment/continue education throughout the duration of employment under the Pathways Program.
Minimum Qualifications: In addition to meeting the Basic Qualifications stated above, you must also meet the minimum qualifications for the appropriate grade level, or applicable general or specialized experience, or a combination of both.
To qualify for the GS-4 level, you must have completed 2 full academic years of post-high school education or an Associate Degree (one year of full-time academic study is defined as 30 semester hours or 45 quarter hours in a college or university; or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school).
To meet the minimum qualifications with experience at the GS-4 grade level, you must have 1-year of general experience.
- General experience is defined as progressively responsible clerical, office, or other work that indicates the ability to perform the duties of General Office and Administrative Support Intern. Examples of general experience include: filing materials in alphabetical or chronological order; operating a copier machine; collating and stapling materials; producing a variety of written documents utilizing various word processing software functions; securing information from files and related sources.
To meet the minimum qualifications with experience at the GS-5 grade level, you must have 1-year of specialized experience.
To qualify for the GS-5 level, you must have completed 4 academic years of post-high school education leading to a Bachelor's Degree or equivalent degree.
- Specialized experience is defined as progressively responsible clerical office support work that indicates the ability to perform the duties of the position. Examples of specialized experience include: reviewing documents for accuracy and completeness; typing and formatting correspondence and forms; obtaining information from files or general reference sources; taking messages and scheduling appointments; performing routine administrative functions.
