Duties
Serves as Team Leader. Articulates and communicates to the team the assignment, project, problem to be solved, actionable events, milestones, and/or program issues under review, and deadlines and time frames for completion. Identifies, distributes, and balances workload and tasks among employees in accord with established workflow, skill level, and/or occupational specialization. Makes adjustments to accomplish the workload in accord with established priorities to ensure timely accomplishment of assigned team tasks. Monitors and reports to the supervisor on the status and progress of work, checking on work in progress and reviewing completed work to ensure instructions on work priorities, methods, deadlines, and quality have been met. Answers questions from team members on procedures, policies, regulations, etc. Prepares reports and maintains records of work accomplishments and administrative information, as required, and coordinates the preparation, presentation, and communication of work-related information. Estimates and reports to the team on progress in meeting established milestones and deadlines for completing assignments, projects, and tasks. Ensures all team members are aware of and participate in planning for achievement of team goals and objectives.
Utilizes expert knowledge of the Integrated Library System (ILS) and Library rules to identify, investigate, search, and resolve processing problems and discrepancies associated with implementation of the various ILS modules. Proposes and implements workflow improvements for processing incoming materials and takes the appropriate steps to avoid backlogs which impede access to the processed receipts. Works directly with other Law Library divisions, the Library Services Directorate (ABA) to resolve collection issues and represents the Law Library on Library-wide committees.
Applies advanced knowledge of the legal collection and the ILS, and applies a full range of library rules, procedures, and operations to resolve a wide variety of problems while maintaining and managing the legal collection materials. Demonstrates initiative in recognizing and solving problems, inconsistencies, and errors in ILS bibliographic, holdings and item records. Creates and maintains ILS records for current and retrospective materials. Makes decisions regarding collections maintenance and oversees complex legal collections maintenance and management tasks.
Manages the procedures for the preservation, care and handling of collection materials. Performs initial triage of delicate or damaged items that can be handled in-house and works with the Library’s various preservation divisions to stabilize at-risk items. Prepares material for binding, scanning, or microfilming. Monitors the appropriate transportation of library materials, internally and externally, to reduce excessive materials handling, ensure security, and protect library materials from unnecessary damage. Enforces the Library's collection security policies by ensuring processing work areas and law collection materials are properly secured at all times. Further ensures the security of items by adding physical security measures such as barcoding, security stripping and labelling individual items.
Provides expedited responses to Congressional or Supreme Court clientele for legislative and/or legal reference and research materials from the routine to the most complex. Attends to, handles, retrieves and supplies collection materials to all other clients in a timely, efficient and professional manner.
Oversees the maintenance of law titles, ensuring that supplements are properly filed and initiates claims for missing materials. Identifies and processes superseded volumes, recompiled or replaced by later volumes. Assists in developing work methods to expedite loose-leaf filing, ensures their currency for reference and research purposes.
Organizes and completes complex manual and computerized searches in multiple systems, including the LAW shelf-list, the Law Library card catalog, the Library card catalog, and the ILS to determine holdings of the Law Library. Searches other utilities such as OCLC to determine holdings of other libraries, as well as for clues to see if the Law Library collection is complete
Performs other duties as assigned.
