Duties
The Department of Exhibitions (PEX) establishes exhibition and collection installation schedules, tours (where
applicable), and budgets, generates contracts for exhibition tour participants and guest curators, manages
correspondence and negotiations with lenders of works of art, and ensures that the work of departments across the National Gallery on production of exhibitions is coordinated within the framework of the Exhibition Planning Process.
Duties for this position include:
- Manage multiple permanent collection installations and highly visible and complex domestic and international loan exhibitions from the conceptual stage and schedules and coordinate participating venues and tours for touring shows.
- Serve as lead coordinator and point-person for cross-departmental project management efforts as outlined in the Exhibition Planning Process.
- Analyze contents of assigned exhibition proposals and assess likelihood of loans, amount of organizational effort required, budget compatibility with the National Gallery’s program and goals, insurance, and indemnity implications, and advise on exhibition scheduling options and feasibility
- Assess lender requirements and fees for loans and negotiate or support the Head of Exhibitions in negotiating terms in the best interest of the National Gallery.
- Working with National Gallery legal counsel, and under the supervision of the Head of Exhibitions, draft, review and negotiate participants agreements with exhibition venues and guest curator, artist, and other consultant agreements for assigned exhibitions and monitor compliance with terms.
- Prepare applications for U.S. Government indemnity, secure favorable insurance terms for loans, and monitor compliance with such terms. Coordinate materials for State Department Immunity from Seizure applications.
- Utilize automated systems (e.g., TMS, Wrike, Teams, etc.) to track loan statuses and data, production deadlines and deliverables, and cross-departmental exhibition communications.
- May supervise one or more GS 9 to GS 11 staff of equal or lower grade and oversee compliance of guest curators and consultants for assigned exhibitions. Plan, schedule, and assign work.
- At the request of the Head of Exhibitions, represent PEX in meetings regarding general exhibition or institution-wide administration. Maintain professional discretion and awareness regarding sensitive or confidential information related to exhibition lenders, contracted partners, and internal issues.

Qualifications
Specialized Experience Statement: Candidates must possess at least one year of specialized experience, equivalent in responsibility to the GS-12 level in the Federal service or private sector with the responsibility for coordinating and managing temporary special exhibitions and collection installations for a museum or cultural institution.

Other Relevant Eligibility Criteria: Must be avaialble to tavel within the U.S. and Europe for up to seven (7) days per trip.
Merit promotion applicants must meet the time-in-grade requirement as defined in 5 CFR 300, Subpart F. One year at the GS-12 level is required to meet the time-in-grade requirements for the GS-13 level.
