Summary

The positions duties and responsibilities are in various administrative and technical areas of Facilities Management Service. In this capacity, renders day to day support to the Engineering Program Managers and Operation and Maintenance Supervisors at VA Black Hills Health Care System, Hot Springs, SD.

Duties

  • Responsible for the operational aspects of the MAXIMO Facilities Management system.
  • Independent evaluation if each service request submitted through MAXIMO; independently determining whether to deny or approve based on established guidelines.
  • Converting approved service requests to work orders, assigning the work to the responsible shop, monitoring status, and closing out the work orders when completed.
  • Work with the supervisors and shop personnel to properly assign and prioritize work orders.
  • Responsible for managing, maintaining, operating, and keeping up to date in part or in whole the work order system, which is tied to several other files, such as space inventory, equipment inventory, equipment history, maintenance procedures/manuals, PMI schedules, etc.
  • Entering new building service equipment data into the MAXIMO system, as well as, keeping previous entries up to date.
  • Develop preventive maintenance procedures and frequency based on knowledge obtained from manufacture recommendations
  • and service manuals.
  • Participate in Environment of Care Environmental Rounds to record and monitor maintenance and repair work orders.
  • Familiar with all buildings and grounds at all sites in order to assess work according to unique needs and requirements, and will require the ability to read blueprints.
  • Analyze data from the work order system for accuracy, completeness, and for planning and trending purposes.
  • Serves as the initial point of contact for work order issues and concerns.

General Experience: You must have at least one (1) year of general experience that is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. Examples of general experience would typically include, but are not limited to: routine clerical, keyboarding, copying, filing, and electronic record maintenance; ensuring correct format, grammar, spelling, punctuation, appearance of reports and correspondence.

Education: Applicant's may substitute education for the required experience. To qualify based on education for the GS-04 grade level, you must have two (2) years of education above high school, or equivalent. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. NOTE: One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. (TRANSCRIPTS REQUIRED).

Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grade GS-04. You must have a combination of general experience and education that total 100 percent to qualify. (TRANSCRIPTS REQUIRED) NOTE: Only education in excess of one year beyond high school may be substituted for experience when qualifying based on combining education and experience.

Additional information

Participation in the seasonal influenza program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities. HCP include all VA licensed and unlicensed, clinical and administrative, remote and onsite, paid and without compensation, full- and part-time employees, intermittent employees, fee basis employees, VA contractors, researchers, volunteers and health professions trainees (HPTs) who are expected to perform any or all of their work at these facilities. HPTs may be paid or unpaid and include residents, interns, fellows and students. HCP also includes VHA personnel providing home-based care to Veterans and drivers and other personnel whose duties put them in contact with patients outside VA medical facilities.
